Packing Procedures

General: Carefully pack all equipment and supplies in strong cardboard, tri-wall cartons, wooden crates, or polystyrene shipping containers, as appropriate. Be sure to use adequate packing material. Try not to consolidate too many fragile or heavy pieces in one box and be sure to pack equipment going to different destinations in separate boxes.

Palletize gas bottles for shipment by laying them down on their sides on the pallet and then band them. Include the serial numbers of your gas bottles on the inventory list.

Hazardous Materials: Hazardous materials should be professionally packed separately in accordance with all applicable HAZMAT regulations. If in question, please contact PASHA for clarification of packing requirements.

Container Identification: Each container should have (1) a GTE logo label; (2) a prominently displayed PI code; (3) destination label.

Forms: Pack and inventory all equipment and supplies on the PASHA inventory form (1 form per site). Include dollar value, manufacture, country of manufacture, model, and serial numbers and any markings when filling out your inventory so it can be properly declared and insured. Important: Identify all equipment and supplies on the packing list that will not be returning to the US using the phrase Not for Return . Additionally, you will need a Master Inventory Sheet. The master inventory sheet will be a comprehensive list of all items in the entire shipment. On the top of each inventory list identify the intensive site destination or write "Master".

Be sure to note on the inventory list which box each item is packed in (use provided PI identifier e.g., AA-1, AA-2 etc., see below). This is to ease identification. Distribute copies of inventory as follows:

Copy #1 Send the first copy to the SAIC GTE Project Office

Copy #2 Enclose all copy #2 sheets in the provided pouch (secure provided pouch to one of your boxes in the shipment.)

Copy #3 Staple Master inventory sheet (only) to trucker s bill of lading at time of pickup

Copy #4 Fax to Josie Stanley, The Pasha Group, 510-236-0614.

Copy #5 Retain for your files

Labels: Affix color-coded labels according to destination site and GTE labels addressed to PASHA on each box or container. NOTE: if more GTE address labels or more packing lists are needed, please call the SAIC GTE Project Office at 757-827-5860/5848.

Size and Weight: Weigh and measure each packed carton, crate, or polystyrene shipping container (length, width, and height in inches). This information will be entered onto the trucker s bill of lading at the time of pickup.

Operations Contact -- Josie Stanley: PIs will call The Pasha Group, at 800-288-5289, ext. 309, when all material is staged and ready for pickup. THE PICKUP WEEK IS CURRENTLY SCHEDULED FOR 14-20 DECEMBER 1998.

Shipping Coordination

Intensive Site Shipment: PI shipments need to be ready for pickup by 14 December 1998.

P-3B Integration Shipment: PI shipments need to be ready for pickup by 14 December 1998.

DC-8 Integration Shipment: PI shipments need to be ready for pickup by 14 December 1998.

Return Shipments:

Packing: Upon completion of each intensive site and the two integrating sites, the PIs will pack their own equipment and supplies for the return shipment. The same packing and documentation procedures listed above for the outbound shipments should be followed for the return shipments.

Shipping Agent: A designated agent will be on site at each location at a pre-arranged date to assist in the packing and loading of the ocean container.

Return Shipment Labels: SAIC GTE Project Office will provide each PI return destination color-coded labels. These labels will be distributed on pack days at each intensive site.

Extra Material: Any materials that were not included in the outbound shipment from the USA should not be in the return shipments because it could cause Customs delays for the entire shipment. If additional material is to be included, it must be cleared with the Project Office and must be properly documented. The designated shipping agent will assist with this documentation.

Temporary Import Licenses for Computers: Tahiti customs require temporary import licenses for any computers and ancillary equipment that is brought in to their country. This applies to commercial as well as NASA aircraft travelers. However, the licenses are necessary only for computers that will be removed from the NASA airplanes and used on the ground. The SAIC GTE Project office will submit a list of all affected computers and related equipment (by make, model, nomenclature, and value) to Tahitian customs officials to satisfy this requirement.
